Job Description

The Front Office Receptionist is responsible for sorting, filing and maintaining medical and demographics records. Communication with surgical facilities will be coordinated by the Front Office Receptionist for missing medical records and revision requests by the billing department. Additionally, the Front Office Receptionist will conduct administrative duties, which includes greeting guests, answering/directing phone calls, handling company inquiries, and sort/distributing mail. This position requires a positive and professional attitude with Prime MSO team members and visitors.

Job Responsibilities:

  • Serve visitors by greeting, welcoming, directing and announcing them appropriately.

    Answer, screen and forward any incoming phone calls while providing basic information when needed.
  • Review, sort, and digitally file patient medical and demographic records to company management drive.
  • Transmit documentation to necessary parties via email, facsimile, or mail, in accordance with all medical practice regulations, such as, but not limited to HIPAA/HITECH.
  • Follow-up on missing documentation and maintain current aging.
  • Conduct coding file uploads in conjunction with Billing/Accounting departments.
  • Update appointment calendars and schedule meetings/appointments.
  • Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.
  • Process/distribute incoming and outgoing mail.
  • Maintain a safe, organized, and efficient office environment.
  • Assist with maintaining company directory.
  • Perform duties assigned by management or Executive team
  • Accomplish assigned projects on time.
  • Complete office runs needed by management.
  • Maintain cleanliness of front office and conference rooms.


Skills and Qualifications:

  • Professional demeanor, including well-groomed appearance
  • Proper telephone etiquette is required
  • Strong written and verbal communication skills
  • Ability to multi-task and prioritize competing responsibilities
  • Able to work with staff across all departments


Preferred Qualifications:

  • Knowledge of medical terminology is preferred
  • Minimum of 1 year front office/receptionist experience


Requirements:

  • Proficient in MS Office programs (i.e., Word, Excel, Outlook, and Power Point)
  • Maintains HIPPA confidentiality standards
  • Regards inter-staff communication as confidential, when advised
  • High School Diploma or equivalent required
  • Valid CA Class C Driver’s License
