Administrative Assistant [Canada]


 

Roles and Responsibilities summary:

This position holds responsibility for day-to-day data entry tasks, invoicing tasks, data review, and a wide array of administrative duties, including assisting with ISO 9001:2015 compliance and reporting. The role is essential to the daily operation and smooth running of the company.

Duties and responsibilities include but are not limited to:

  • Greet clients, filing physical and digital files, preparing coffee
  • Preparing mailings, labels, and associated document related tasks
  • Keeping the break room and conference room tidy, organized, and ready for use
  • Review and sending of customer invoices on a daily basis
  • Communicate with vendors regarding order status
  • Communicate with vendors and clients on billing matters upon request
  • Prepare and process purchase orders upon request
  • Facilities support and coordination with building management for the office
  • Assisting in organizing/scheduling/coordinating meetings and social events
  • Entering supplier invoices (payables) into the ERP system. (Spire)
  • Assist with receivables collections
  • Assist with ISO 9001:2015 documenting non-conformities and corrective actions
  • Other office administrative and accounting-related duties, as required

Skills, Experience, and other requirements:

  • Degree, diploma, and/or at least 2 years of equivalent or relevant working experience
  • Solid understanding of Windows PC’s, proficient and resourceful using various software, fast/accurate typing.
  • Knowledge of Spire/Business Vision or similar accounting software an asset
  • Proficiency in MS Office suite, Word, Excel, Outlook. (Ability to modify word documents and PDF’s. Ability to create very basic excel formulas)
  • High attention to detail and good organizational skills
  • Able to manage priorities and multitask
  • Ability to maintain confidentiality
  • Ability to maintain a positive attitude and work in a team-oriented manner
  • Experience with ISO quality management systems an asset
  • Excellent verbal and written communication skills in French and English are required

Schedule:

  • Part-Time, Temporary position
  • Monday to Friday(weekends off)
  • 8:30am to 1:30pm (5 hours/day, total of 25 hours/week)
  • Work from home not available, in office presence is a requirement of the job.

Job Type: Part-time
Part-time hours: 25 per week

Salary: $18.00-$21.00 per hour
