Job Purpose:
The Administrative Support position will be responsible for providing administrative support to the Mobile
Outreach Street Health (MOSH) team. The incumbent is responsible for ongoing administrative assignments
including, but not limited to assembling, reviewing and producing pertinent materials; assisting with managing
client referrals, appointments, and program data collection; and organizing, communicating and coordinating
with patients/clients and others in support of the MOSH clinical team and MOSH Manager.
MOSH is an interdisciplinary primary care outreach service. The following are the main objectives of the
program:
- To increase access to effective and equitable primary health care to community members across the
- To improve health status of marginalized and underserved populations.
- To create a collaborative environment in which information, knowledge, and resources are shared
among community service, health care, academic, and government organizations.
The position provides support during NECHC clinic hours, Monday to Friday 9 to 5, although there may be
some exceptions.
Position Summary:
Reporting to the MOSH Manager, the Administrative Support is a key member of the health team, providing
support to the MOSH team members to optimize service delivery. Core responsibilities include:
- Monitoring clinician’s schedules to optimize access through ensuring new patients have required
management (and referring as needed); ensuring appointments are being booked according to
templates and monitoring the electronic medical records system (EMR) for accuracy and to identify
challenges and opportunities to improve efficient access.
- Working with MOSH clinicians and/or NECHC /MOSH receptionist to gather history and information
request or other time-sensitive request to minimize clinician time in attending to same.
- Creating clinic schedule template in the electronic medical record (EMR).
- Facilitating communication among team members and circle of care as it pertains to appointment and
health task-management (e.g. checking with clinician if appointment should be rescheduled if prep
work for appointment incomplete prior to it; making health case management /other support referral for
those who historically miss appointments; following up on referrals or funding requests that were
tasked).
- Receiving patient requests made via MOSH nursing line and directing to appropriate team members or
- Assisting in preparation of documentation and completion of other administrative tasks at direction of
sending and following up on referrals and flagging need for health case management to attend these
outside appointments as warranted, obtaining quotations for assistive devices, etc.)
- Collecting and managing data such as for quality improvement, funding, evaluation, and needs
- Assisting in internal and external communications and providing administrative meeting and event or
- General office and support work: faxing, photocopying, data entry, ordering meeting refreshments or
- Other duties as needed.
The MOSH Administrative Support is a vital role for optimizing efficient and effective health care for people
accessing MOSH services; it is essential that this person approach the work from a lens of trauma-informed
care and be courteous, respectful, and responsive in their duties. As a consistent organizing presence to the
highly-demanding MOSH service it is equally essential that the Administrative Support be a highly organized,
responsible, reliable – punctual and with excellent attendance, communicative and critically-thinking team
player.
Education and Experience requirements:
- Completion of Grade 12.
- Completion of Office or post-secondary education in the area of administration (Equivalent
- Minimum of 2 years successful track record in administrative role that requires multiple demands,
- Experience in a health care setting; non-profit/community setting preferred but not essential
- Experience with multiple business software and electronic health records required or very quick to
- Excellent attendance record and punctuality required
