Role Overview:

As an Experienced Administrator in our Labour Planning team, you will play a crucial role in scheduling and monitoring labour execution for detailed daily production plans. Operating within a 24/7 production environment, you will work closely with the Operations Team to optimise resource utilisation, reduce production time and costs, and enhance overall efficiency. With the guidance and support of our Labour Planning Manager, you will have the opportunity to contribute to the success of our organisation.

Key Responsibilities:

– Utilise our in-house Time & Attendance System to complete weekly staff rotas, ensuring the appropriate allocation of skilled resources while complying with relevant Working Time legislation.

– Collaborate with Human Resources and Training functions to consult, plan, and schedule training for production workers.

– Conduct skill gap reviews and coordinate with the recruitment team to address any staffing needs.

– Manage absence, sickness, and other related matters within the Labour Planning scope.

– Maintain effective communication and coordination with third-party temporary staff suppliers.

– Adjust weekly staff rosters daily, considering categories and production areas, to deliver the required labour resources and optimise efficiency.

– Actively engage with supervisors, team leaders, and operatives to address any labour constraints promptly and prevent any negative impact on operations.

– Develop and execute labour schedules per shift, ensuring smooth operations and timely completion of tasks.

– Serve as a liaison between Production, Payroll, and HR functions, facilitating seamless information flow and collaboration.

– Prepare weekly payroll reports, including worked hours, skill set breakdown, and absence types for workers.

– Compile Daily KPIs and Weekly Management Information Reports as needed to track performance and make data-driven decisions.

– Maintain accurate staff records, ensuring daily updates and amendments in line with business requirements.

– Assist with data entry tasks, as necessary.

– Undertake any other relevant duties as assigned by the Company.

Key Skills:

– Fluency in both oral and written English is essential for effective communication.

– Proficiency in MS Excel at an intermediate level is a must, while advanced skills are highly desirable.

– Strong organisational skills, attention to detail, and proven problem-solving abilities are essential for effective labour planning.

– Ability to learn quickly and work independently, taking initiative to overcome challenges.

– Excellent interpersonal and communication skills to foster collaboration and maintain positive relationships.

– A professional telephone manner is essential for effective communication.

– Flexibility to adapt to varied working patterns as our production operates 24/7, seven days a week. Willingness to work any five days out of seven and be available outside of standard shifts when necessary.

– A team player mindset, demonstrating cooperation and a collaborative approach.

– Competence with PC usage, email communication, and proficiency in MS Excel.
