Facilities Administrator [United Kingdom]


 
We are currently recruiting for a Facilities Administrator to work for Lincolnshire Police at their Headquarters in Nettleham.

This will be a temporary ongoing role working Monday to Thursday 0830 - 1630, Friday 0830 - 1600 and will be office based.

JOB PURPOSE: To provide support and assistance within the department ensuring the smooth operation and delivery of core objectives. To provide high quality, customer focused support to the organisation.

PLEASE NOTE DUE TO POLICE VETTING CRITERIA YOU MUST HAVE RESIDED WITHIN THE UK CONTINUOUSLY FOR THE PAST 3 YEARS AT THE DATE OF APPLICATION.

CORE WORK AREAS:

1. Supporting the Facilities Services Helpdesk by co-ordinating activities including
  • Monitor the facilities services mailbox for repair, maintenance and caretaker requests along with taking telephone calls and responding to emails.
  • Initiate work tasks via Concept Evolution software.
  • Assigning work to internal members of staff at HQ and external contractors across the Force area.
  • Establish and maintain a working relationship with service providers and other agencies relating to contractual matters always ensuring that the interests of the company are maintained to a high standard.
  • Ensure the prioritisation of repairs and maintenance requests
  • Generating purchase orders for the work to be undertaken.
  • Receipting when works have bene completed. h. Actively monitoring task progress and chase up completion as applicable.
2. Operating, updating, and maintaining Concept Evolution software including updating information in relation to the asset base including room names and numbers, department groups, contractor detail, lease and licence information and producing crystal property reports or similar.

3. Responsible for the issuing of PPM tasks via Concept Evolution for caretakers and external contractors. Engaging with contractors to ensure attendance within timescales.

4. Responsible to produce monthly reports from Concept Evolution.

5. To instigate contractor vetting ensuring results are recorded correctly and reported to employers, whilst observing the Data Protection Act and GDPR.

6. To monitor and maintain the Contractors Database ensuring all details are up to date.

7. To monitor and maintain records of Contractors insurance ensuring they are in date and to sufficient levels.

8. To deal with new Contractor requests for including on the emergency call out lists.

9. Responsible for generating purchase orders for goods and services including receipting when goods and services are delivered.

10. Undertake research for the section on various facilities related matters including the preparation of reports and comparative costings and analysis of information.

11. Manage and monitor the process for contract renewal requirements in relation to contracted out services.

12. Undertake administrative tasks such as filing, database inputting, scanning and other related administrative tasks.

13. To assist in other areas of the department as required. This includes the Reprographics Section, Reception and the Post Room.

ESSENTIAL REQUIREMENTS
  • Demonstrates experience of working within an office environment
  • Planning, co-ordinating and prioritising abilities
  • Good organisational skills
  • Able to use own initiative and make decisions
  • Demonstrates a methodical approach to work ensuring accuracy and attention to detail
  • Knowledge Knowledge of Microsoft Word, Excel and Outlook
  • Ability to building strong working relationships and operate within a multifunctional environment
  • Good communication and interpersonal skills
  • Must have an adaptable and flexible approach, with the willingness to learn
