At Navigate Family Therapy, we are seeking an exceptional individual to join our team as an Intake Specialist. This dynamic role primarily operates remotely, with occasional on-site meetings as necessary. As the initial point of contact for new client intakes and referrals across all locations, the Intake Specialist plays a crucial role in establishing positive relationships with clients. The ideal candidate for this position is outgoing, friendly, and genuinely enjoys connecting with people. They possess a natural ability to build strong, relational connections while maintaining healthy boundaries and exercising discernment. With a compassionate and caring nature, they are adept at setting appropriate expectations for clients regarding insurance, authorizations, payments, and individual provider policies. Exceptional organizational and administrative skills are a must for effectively managing intake processes and ensuring seamless transitions for clients.

This part-time role entails an average of 20 hours per week, with morning and afternoon shifts, allowing for flexibility and work-life balance. Duties/Responsibilities:
- Use customer service phone techniques to create a warm and welcoming environment for new clients accessing care for the first time.Follow communication guidelines when handling different topics.
- Identify customers’ needs, clarify information, research every issue and provide solutions and/or alternatives.
- Build sustainable relationships and engage customers by going the extra mile.
- Frequently attend educational seminars to improve knowledge and performance level
- Set and meet personal/team objectives and key results.
- Answer intake requests (respond to phone and email inquiries from new and existing clients, schedule intake appointments with appropriate therapist, answer practice -related questions).
- Use computers and other technology to access various web-based programs.
- Coordinate with providers on filling their schedules.
- Coordinate with the billing team to communicate insurance coverage with clients and collection payments.
- Send new client paperwork and follow-up to ensure it is completed.
- Stay highly organized.
- Pay close attention to detail and prioritize tasks.
- Other duties as may be assigned.

- Ability to connect with clients and serve their needs.
- Work at an efficient and productive pace, handle interruptions appropriately and meet deadlines
- Must be punctual in reporting to work.
- Be organized and detail oriented.
- Be able to work independently on tasks assigned.
- Passionate about working with others.
- Must have your own computer dependable internet access and wifi connection.
