Administrative Analyst [United States]


 

As the Administrative Analyst, this position will be responsible for providing faculty support, operations, and analytic support to UCSF- East Bay Surgery division.

The individual will act as a high-level liaison between the faculty leadership, administrators, medical center administration, colleagues at national institutions and other Universities, public officials, and other persons outside the University.

This position requires a high level of independence and autonomy and will be expected to learn and understand the institutions’ policies (UCSF, UC Medical Center, and other foundations, organizations, and institutions) to resolve issues and implement Division policies for activities.

The ideal candidate is a self-starter, proactive, great communicator, and enjoys collaborating with people with a diverse set of talents.

The final salary and offer components are subject to additional approvals based on UC policy.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The mission of the UCSF Department of Surgery is threefold: to develop the next generation of leaders in surgery; to provide outstanding quality clinical care that is cost effective, yet compassionate; and to make significant advances in scientific knowledge and clinical practice through basic and clinical research. Care of patients is what attracted our faculty and residents to surgery, and it continues to be our main focus.

The Department is comprised of eleven divisions that include Adult Cardiothoracic Surgery, General Surgery, Pediatric Cardiothoracic Surgery, Pediatric Surgery, Plastic & Reconstructive Surgery, Surgical Oncology, Transplant Surgery, and Vascular & Endovascular Surgery. Our surgeons provide care at locations throughout greater San Francisco including: UCSF Medical Center at Parnassus (Moffitt-Long Hospital), UCSF Medical Center at Mt. Zion, UCSF Medical Center at Mission Bay, UCSF Benioff Children's Hospital in Oakland, Zuckerberg San Francisco General Hospital and Trauma Center, San Francisco VA Medical Center, and Alameda County Medical Center in Oakland. Our residents also rotate through UCSF Medical Center, Kaiser Permanente, and California Pacific Medical Center.

The UCSF-East Bay Surgery division is located at Highland Hospital Level One Trauma Center, Alameda Health System (AHS), Oakland, CA. It provides surgical services at Highland Hospital and two allied community hospitals. In addition, our Division Chief, as Chief of Surgery at Highland Hospital, has leadership responsibilities over associated surgical services with significant interrelations with those subspecialties.

Required Qualifications

  • Bachelor's degree in a related area and/or equivalent experience/training.
  • Minimum of 1 year of administrative support to directors/faculty
  • Working knowledge of standard organization-specific and other computer application programs. Excellent proficiency in MS Office applications (Word, Excel, and Outlook). Demonstrated skill in word processing to prepare correspondence and other documents with speed and accuracy; Ability to learn how to utilize different programs as needed.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff, both verbally, and in writing.
  • Ability to meet deadlines in a timely and accurate manner with excellent attention to detail.
  • Demonstrated experience working independently with minimal supervision, using initiative and resourcefulness in performing job duties in areas of responsibility and in the execution of additional duties as assigned.
  • Ability to use sound judgment in responding to issues and concerns
  • Demonstrated excellent customer service and organizational skills
  • Excellent oral and written communication skills.
  • Ability to manage/prioritize multiple tasks with competing deadlines and work well under pressure.
  • Ability to maintain confidentiality, be courteous, work well and interact with a diverse population
  • Demonstrated ability to maintain detail and ensure accuracy.
  • Demonstrated excellent attendance and reliability.

Preferred Qualifications

  • Knowledge of UCSF policies and procedures.
  • Knowledge of UC Financial systems such as MyReports, MyExpense and BearBuy.
  • Experience working in academic medical setting and understanding best business practices.
