About the role

We are currently on the hunt for a motivated, hungry and passionate individual to join the team as our Junior Booking & Talent Team Co-ordinator.

At GottaBe! our clients are at the heart of everything we do, the Junior Booking & Talent Team Co-ordinator will support the current office staff in managing the tactical team.

We are also looking for an individual with an attention to detail, and quirky ideas, who will be a strong team player and eager to learn and can grasp new information quickly.

About the person

We are looking for a keen, self-starting individual who is ready to play a vital role in supporting the growth of booking and talent team within the business. The successful candidate should be someone with a keen eye for detail and the ability to spot an opportunity when it arrives.

We love to collaborate on ideas and the successful candidate should be ready to input ideas and contributions within the business and establish themselves in the role.

The ideal candidate will have at least one years’ experience in an agency setting or equivalent marketing / recruitment role.

Key responsibilities

In this role, you will be…

  • Working to ensure that all current day-to-day account management projects/accounts are delivered in a professional, timely and cost-effective manner at all times.
  • Vetting and identifying suitable candidates to join the tactical team as Brand Ambassadors or Event Managers
  • Conducting telephone interviews and get them to register with the staff management portal.
  • Booking promotional staffing onto campaigns, arranging logistics and briefing Brand Ambassadors and Event Managers.
  • Negotiating skills and management of the Brand Ambassadors’ contracts, costs & budgets keeping within the approved rates of pay, travel and bonuses etc.
  • Proactively seek out new talent that would be advantageous to the agency.
  • Dealing with booking enquires and preparing shortlists for clients
  • Day to Day supervision of the tactical team to ensure they check in on time for the shift and complete their reports and pictures as required.
  • Putting together written client briefs for the tactical team members.
  • Putting together written reports and presentations for clients
  • Support projects and campaigns as defined by Client Service Managers / Directors and serve as an intermediary between the client and staff members when required
  • Support Managers with administrating tasks as needed.
  • Arranging travel accommodation and travel arrangements and sort out staff expense forms.
  • Coordinating administrative tasks such as scheduling meetings, arranging phone conferences,
  • Take part in the on-call rota and ensure the rota has cover for the out-of-hours campaigns.
  • Be able to rapidly adapt to changes within the business whilst remaining proactive and professional.
  • Any other duties required by the management team.

Skills & Experience

Skills required for this job;

  • 1+ years of office management experience or customer service
  • High Level of organisation.
  • Good understanding of the marketing industry.
  • Strong time-management and people skills, flexibility, and multitasking ability
  • Understanding of spotting talent and interviewing people.
  • Advanced computer skills and experience with online platforms
  • Proficiency in Microsoft Office, with the aptitude to learn new software and systems
  • Superb written and verbal communication skills
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
  • Ability to keep company confidence

This is office based role, in Southampton.

Working hours: Monday to Thursday – 9am till 5:30pm, Fridays – 9:00am till 5pm.

Salary: £20,500 - £21,500, depending on the experience
